As the owner you hold the widest access. Your first day is about laying the foundation the rest of the team builds on.
Start at the Get started checklist at /onboarding. It reads your real data and walks you through the foundation in order - add your first site, add houses, place your first lot, record your first figures, then set up your team - marking each step done as you go. On the team step you can invite people or choose I work alone if you record everything yourself. While the essentials are still missing, your dashboard shows a Continue setup prompt that returns you to the checklist. The steps below match that path.
After the first real capture, the same route becomes Setup center. It keeps daily operations, team operation, and Finance readiness separate and promotes only one next mission you can complete. Organization profile and Finance prerequisites can need attention; optional commercial controls stay available without lowering daily readiness.
Each main setup step is a tab with a linked checklist. Complete a form and you return to that tab automatically; review pages keep a Back to setup action. When the whole tab is ready, choose Next to continue to the following step. After every visible setup track is ready, every tab shows Finish setup and returns you to the dashboard. Home mirrors the required checklist with exact complete/remaining counts and the next task link; optional commercial controls do not inflate the remaining count. The Home reminder automatically waits seven days before appearing again, or you can choose Remind me in 30 days without changing checklist progress. During that wait, Continue setup remains available in Home's Quick actions panel until every required task is complete.
What to do
- Confirm the organization. Check the profile at
/settings/organizationand Finance currency at/settings/finance. The subdomain is fixed after creation. - Set up locations. Create your sites at
/locations/sites, then open each site and add its houses - use Add houses to create several in one pass. Everything operational hangs off a house. - Invite the team and assign roles. Add people at
/settings/members. Give each person the narrowest role for their job - workers for daily recording, managers for oversight, finance and billing roles for the money side. If you run the operation solo, choose I work alone on the Get started checklist and add people later. - Review billing. On
/billing, the Subscription tab shows your plan and renewal. Open Compare plans to review other tiers; use Billing history for your invoices, each showing what is still outstanding. A paid-plan signup returns here after sign-in. When automatic renewal is offered for your organization, review the recurring price and frequency, accept recurring billing separately, and choose Set up renewal. Account signup alone does not authorise a charge. - Add a first flock or egg set. At
/lots/new, choose Place a Lot, enter one day of figures, and record one sale and one expense under/finance.
Watch out
Roles are the main safety control. Prefer the narrowest role that works, and widen only when someone is blocked. Sensitive actions are audited under /audit, so changes are always traceable.
If invoice payment is interrupted, reopen the invoice from Billing history. Use Resume checkout for an existing card payment or Check payment status for an existing phone payment. These continue the earlier attempt rather than starting another charge. Cancel is available only before submission; contact support when Billing asks for review.
New payment options follow the organization's billing setup, not the website address you open. For Kenyan billing, available Mobile money and Card payments open DPO's secure checkout. Choose your wallet or card details there. Unless you separately enable automatic card payments, you pay each invoice yourself. There is no Paddle enrollment or Paddle portal for ordinary DPO billing. Unavailable methods show a reason. Use Get help or contact support if none is available.
Where enabled, Review card setup opens /billing/auto-renew. Verify your
signed-in email if asked, review the first invoice and future KES renewal limit,
and accept card authorization separately. Saving a new card uses a genuine
amount-due hosted checkout, not a nominal setup charge. After payment, choose
Check payment and cards, explicitly select a confirmed card and choose
Confirm automatic payments. An already-confirmed saved card can be selected
without another payment during a current paid period. A paid invoice alone
does not enable auto-pay.
During an eligible manual trial, Start paid period now opens the first invoice review. Confirm that a successful payment replaces the remaining free trial, then choose Continue to first invoice. Creating it does not charge you. Pay manually, or use Pay and set up automatic card payments where available. New Kenyan invoices use the displayed KES price even without auto-pay; old invoices keep their original amounts and currency.
Your email status also appears in Settings > My account. Choose Verify email if it is not verified, or Resend after the 60-second wait. Use the latest email's Verify my email button within 30 minutes. Account verification does not enable automatic payments. See the account email guide.
Automatic-card setup and changes also require two-step verification. If it is not enabled, confirm your current password on the identity page, add an authenticator, confirm its code and save the recovery codes. Use Forgot password or need to set one? if your account has no local password. With an existing authenticator, enter its code or a recovery code when asked. Return to Billing and submit the action again; confirming identity does not start a payment.
Stop automatic payments removes this organization's authorization without cancelling current paid access or deleting a shared provider card. An already-processing payment may still finish. Cancel card setup cancels only an unfinished setup; an existing active card remains unchanged. If a response is uncertain, check status instead of starting another payment.
Payment due on an ordinary manual/DPO renewal means the invoice is unpaid, not necessarily that a card was declined. The seven-day grace period starts at the invoice's due time. Settle or review the existing invoice before paid-plan writes pause; do not open another charge when a payment is still uncertain.
If Billing shows Existing Paddle agreement, that earlier automatic renewal has not moved to DPO. Expand Manage existing Paddle agreement to reach the permitted management actions. It stays in effect until a change is confirmed; do not start another agreement just because the payment setup has changed. If current payment options cannot be loaded, Billing shows the error while keeping existing agreement management accessible.
To stop future renewal, open Manage subscription on Billing's Subscription tab and choose Cancel subscription, expanding Manage existing Paddle agreement first if shown. Check the plan, end date and consequences in Before you cancel, then add your reason and select Request cancellation. Access continues through the confirmed paid period. A pending cancellation can be withdrawn with Keep subscription before that date. Switch to manual billing, in the same section, instead stops automatic charges while keeping future invoice payment available.
